Email Settings & Message Types
When sending emails in Eventene, you can customize how your message looks, what action it drives, and when it is delivered. This article explains the available message types and key email settings.
Message Types
Each email includes a call-to-action button that determines what participants will do next. The message type controls this behavior.
- Invitations – includes a button (default “Register”) that takes participants directly to their personalized registration page
- Confirmations – confirms attendance and provides event details
- Updates – shares announcements such as schedule changes or reminders
- Assignments – shows participants their assigned sessions, tables, or roles
- Payment Reminders – directs participants to review and complete payments
Choosing the correct message type ensures participants are taken to the right place when they click the email button.
The Call-to-Action Button
The button in your email is one of the most important elements.
- It takes participants directly to their personalized experience
- It removes the need to log in manually
- It drives completion of registration, assignments, or payments
You can:
- Customize the button text
- Change its color
- Hide it (not recommended for invitations)
Important: Removing the button may require participants to log in manually, adding friction to the process.
Compose Your Message
When composing an email, you can configure:
- Subject – keep it short and clear
- Message body – use the rich-text editor to format your content
- Header – include or hide the default event header
- Contact information – include organizer details or provide your own
Use clear messaging and a strong call to action to guide participants.
Email Design Options
You can customize the appearance of your email:
- Choose a color scheme for the button
- Add your own branding in the message body
- Adjust layout elements such as header and footer visibility
These options allow you to match your organization’s style.
Scheduling and Delivery
You can choose when your email is sent:
- Send Now – deliver immediately
- Schedule – send at a future date and time
Scheduled messages appear in your message list until they are sent.
Test and Preview
Before sending, you can:
- Preview the email layout
- Send a test email to yourself
Always test important messages before sending them to participants.
Email History and Drafts
All messages are tracked in the Sends List, where you can:
- View previously sent messages
- Edit draft messages
- Manage scheduled messages
- Resend past messages
This acts like a shared sent mail folder for your program.
Best Practices
- Use Invitations to start the registration process
- Send reminders before deadlines
- Use Updates for changes or announcements
- Test emails before sending to large groups
- Keep messages short and action-oriented
