Send Emails to Participants
Email is used to communicate with participants in your program. While participants gain access through groups and activities, email helps you notify, remind, and guide them through the experience.
When to Send Emails
You can send emails at any point during your program, including:
- Inviting participants to get started
- Reminding participants to complete their responses
- Sharing updates or changes
- Sending confirmations or follow-ups
Email is optional, but it is the most effective way to drive participation.
Choose Who to Email
You can target emails based on groups or activity participation.
- Groups or Subgroups – send to a specific audience
- Activity participants – send to people assigned to or responding to an activity
This allows you to communicate with exactly the right participants.
Create and Send an Email
- Open your program
- Go to the Communicate or Email section
- Click New Email
- Select your recipients
- Enter a subject and message
- Send or schedule the email
You can review your email before sending to ensure accuracy.
Include Program Links
Most emails should include a link to your program so participants can:
- View their activities
- Submit or update responses
- Access program details
Providing a direct link helps participants take action quickly.
Use Emails Effectively
- Keep messages clear and focused
- Include a clear call to action
- Avoid sending too many emails
- Send reminders before important deadlines
Common Email Types
- Invitation email – introduce the program and provide access
- Confirmation email – summarize responses or attendance
- Reminder email – prompt participants to respond
- Update email – communicate changes or new information
