Create Activities

Activities are the core building blocks of a program in Eventene. Everything that happens in your program is defined through activities.


Activities determine:

  • What participants can see
  • What they can respond to
  • Which parts of the program they are invited to


Participants are not invited to a program directly. Instead, they are added to a Group, and that group is attached to one or more activities.


This means participants only see and interact with the activities their group is assigned to.

A program may include a single activity or many, depending on how it is structured.


What Are Activities?

Activities define what happens within your program. They can represent scheduled sessions, registration steps, or internal coordination tasks.


For example:

  • A session such as "Workshop" or "Lunch"
  • A registration step such as "Select Your Sessions"
  • An internal task such as "Assign Volunteers"


Each activity can be assigned to specific groups and configured with its own settings.


Activity Types

When creating an activity, you can choose from different types depending on how it will be used:

  • Schedule – activities that appear on your program schedule (e.g. sessions, meetings)
  • Registration – activities used during sign-up (e.g. selecting options)
  • Lead – activities used to capture information (e.g. sponsor or exhibitor interactions)

Choose the type that best matches the role of the activity in your program.


Create a New Activity

  1. Open your program
  2. Go to the Activities tab
  3. Click New Activity
  4. Select Create from Scratch

Enter the basic details:

  • Name – what the activity is called
  • Start and end time – when it occurs
  • Location – where it takes place

Click Create to add the activity to your program.


Copy an Existing Activity

To reuse an existing activity:

  1. Click New Activity
  2. Select Copy an Existing Activity
  3. Choose the activity to copy
  4. Update the name, date, and time

You can also choose to clear previous data such as responses or assignments when copying.

Copying is useful when your activities follow a consistent structure across programs.


Assign Groups to Activities

Activities are connected to participants through groups.

  • Attach a group to invite participants to the activity
  • Use subgroups to target specific subsets of participants

This allows you to control who is included in each activity.


Configure Attendance and Questions

Each activity can collect responses from participants.

  • Attendance – ask participants if they are attending
  • Questions – collect additional information such as preferences or feedback

You can configure these settings when editing the activity.
